Heating and warm water are never guessed
Each heating or warm-water line requires an explicit base/consumption split and confirmed readings. A missing percentage, meter value or allocation base blocks finalization. The system does not silently substitute a country default.

Privacy and responsibility
Tenant data stays encrypted and every suggestion needs confirmation.
Names, addresses, contact fields, project details and source documents use application-level encryption. Source files run through a separate rental worker without public internet access or an external AI/API. Temporary cleartext is limited to worker memory and temporary storage and is removed after processing.
Encrypted projects remain in the active account until the user deletes them. Download packages expire after 24 hours and can be rebuilt from the immutable snapshot. WoluTools is not promoted as a statutory evidence archive.

What does the Landlord Service Charge Calculator create?
Today it creates a calculation preview for each tenancy from test data you enter: allocated costs, prepayments, balance, blockers and warnings. Bilingual statements, the XLSX report and the audit package are planned, but they stay locked until the country rules have been reviewed and pricing is set.
Which countries are planned first?
The service contains separate versioned modules for Germany, Austria and the Netherlands. Country-specific results remain technical guidance and require appropriate legal or tax review before use.
Does WoluTools decide which costs my tenant must pay?
No. Extraction can suggest invoice fields, but the user must confirm every amount, category and allocation choice. The tool does not interpret rental contracts or replace legal or tax advice.
How are heating and warm-water costs handled?
Heating and warm-water components use an explicit confirmed split and confirmed readings. Missing percentages, consumption data or required confirmations become visible blockers instead of guessed values.
Can I change the country later?
The country is locked after the first unit, tenancy or cost entry. Switching country creates a separate property project so that rule versions and terminology cannot be mixed.
How are rounding differences handled?
Money is calculated in integer cents. A stable largest-remainder method assigns every cent reproducibly, and tenant plus landlord shares must add up exactly to the confirmed total.
What happens to tenant and document data?
Application fields and source documents are encrypted. Temporary cleartext exists only during limited worker processing; generated download packages expire after 24 hours while the encrypted project remains until the account user deletes it.
Can it be used as a legal evidence archive?
No. WoluTools is a calculation and documentation aid, not a statutory document archive. Landlords must keep required original records independently.
Can I use real tenant data now?
No. The workspace is a technical test and accepts synthetic test data only. The country rules have not been reviewed by a legal or tax expert yet, so do not enter real tenant data and do not use the preview as a statement.
