Pulling requirements out of an RFP into a matrix
The RFP goes in
You upload the RFP as PDF, DOCX or XLSX files. One run takes up to 4,000 words across the files, capped at 64,000 extracted characters. Only requirements the document states explicitly are extracted. Must and shall wording is kept as written, so the two stay distinguishable. A source over the limit is rejected before processing. The job costs 3 AI credits and needs an account.
The workbook, the deadlines and the open points
You get a requirements workbook, a source-evidence HTML file that quotes the page each requirement came from, a deadline CSV and a list of unresolved items. Dates and times next to submission language go into the deadline file with the quoted sentence beside them. Time zones are copied as written and never converted. Open the evidence file to check any row against the original wording.
Requirement words and the calls your bid team makes
The requirement words setting starts with must, shall, required and mandatory, and you can narrow or widen that set. When an amendment contradicts the original RFP, or an item is uncertain, it goes to the unresolved list instead of being merged. Someone has to confirm which version applies. The tool does not write response text or decide whether you comply. Both stay with your bid team.

Which words does the extractor treat as a requirement?
The requirement-words control starts with must, shall, required and mandatory, and you can narrow or widen that set. Wording is preserved as written, so must and shall stay distinguishable in the workbook.
Does it write the response text for me?
No. It pulls out what the document asks for and quotes the page the wording came from. Drafting an answer and deciding whether you comply is left to the bid team.
How are deadlines pulled out of the document?

What happens when an amendment contradicts the original RFP?
Conflicting or low-confidence items land in the unresolved list rather than being merged. Someone has to confirm which version governs before the matrix is used.
